General rules and regulations

The Code of Studies and Examinations of the University of Pécs regulates all study-related activities. Chapter 12 deals with procedures related to taking exams.

The dates and deadlines for the whole academic year can always be found in the Faculty’s Academic Calendar.

In the 2022/23 spring semester, the exam period lasts between 15 May 2023 and 23 June 2023.

Exams can only be taken during the examination period, in the University buildings, at a time and place announced in advance.

A student may take three exams from a course during an examination period, six exams in total during their whole student status. Within the given exam period the student shall plan and put together his/her exam schedule – considering the specified exam days – in a manner to grant him/her the possibility to take the exam in the courses three times if necessary.

Exam registration

The dates and the maximum number of candidates for each examination must be published at least four weeks before the end of the instruction period. In addition to these dates, the instructor may announce additional examination dates during the examination period.

The student shall put together their exam schedule and register for the exams through Neptun individually.

To register for an exam, log in to Neptun, go to ExamsExam registration and click the ‘+’ button next to it, then click Register.

You must register for the exam 24 hours before the scheduled exam date the latest.

You may withdraw from the exam no later than 36 hours before the date of the examination.

If you try registering or withdrawing after these time limits, you will get an error message like this:

Students can only register for exams from courses that they have taken during the course registration period in the beginning of the semester. Check that the course is indeed registered in Neptun under SubjectsRegistered subjects.

If you have taken the course but do not see any exam dates, contact the instructor. It is likely that the dates have not yet been published.

Past exam dates are not visible in the ExamsExam registration menu.

A student may be banned from registering for exams for several reasons. Until this reason has been resolved, you cannot sit the examination. You can read the reason for the ban in the error message that appears in the pop-up window.

The most common reasons are:

„Your previous exam result has not been entered yet!”

The student shall be entitled to register for another exam date in the same course if the examiner has already recorded the grade or the ‘did not attend’ note in Neptun. Contact your professor and ask them to register your grade.

„The exam registration condition is not fulfilled! You have debt of tuition fee.”

This message does not only mean that you have debt of tuition fee, but any debt towards the University in general.

In case of overdue debts, it is not possible to register for exams or enrol/register for a semester. Library debt also counts in this case.

You can settle your debts by credit card, in cash at a cashdesk or by bank transfer under FinancesPayment. Payment by credit card has a shorter processing time, so that is recommended.

You can register for an exam when the status of your debt is changed to “Fulfilled”.

„ The exam registration condition is not fulfilled! The Student Training Contract is not signed.”

Self-financed (tuition-paying) students must sign two copies of their Training and Fee Payment Agreement and hand them in to the Registrar’s Office. You have received a detailed guide in Neptun and email on 2nd November 2022.

„Your exam registration is forbidden during the current term!”

The student must be informed of the conditions for taking the examination when the course is announced. These conditions are also included in the syllabus.

If any of the conditions (e.g. number of absences allowed, result of mid-term tests) are not met, the instructor is entitled to disqualify the student from taking the exam. In the case of a disqualified course, the student is not entitled to take an examination course in a subsequent semester, but may only take it again as a lecture.

The student must be given at least one opportunity to make up the examination obligation or obligations (not including exceeding the specified number of absences) by the end of the second week of the examination period at the latest.

Specific regulations of oral exams

In case of an oral exam or electronic oral exam the examiner shall arrange for the presence of at least one further student competent in the subject-matter and the language of the exam continously, until the end of the exam.

Oral exams are open to the lecturers and students of the Faculty; audio and video recordings of them may be made with the consent of those taking part. The Dean or the course director shall be entitled to restrict publicity.

If the second oral exam has not been successful and the same person was the examiner at both the exam and the retake exam the student, upon request, shall be granted the possibility to take the repeated retake exam in front of another lecturer or of an exam board designated by the head of department.

Exam results

The results of the oral exam shall be recorded in Neptun by the examiner not later than 12:00 on the working day following the exam day.

In case of written exams test papers shall be marked within three working days from writing the test papers, and the results shall be recorded in Neptun not later than 3PM on the third working day.

All of your grades for the semester need to be registered in Neptun until the “Entering the grades in Neptun” deadline in the Academic Calendar. In the 2022/2023 spring semester this deadline is 27 June 2023, 12:00 noon.

The inspection of marked test papers shall be ensured until the end of the exam period. The candidate may make a complaint with the lecturer if the points of the test paper have been added up wrongly or no points have been given to a task.

Within fourteen days counted from the end of the exam period the student may challenge the data concerning assessment in Neptun by submitting an objection to the course director, or to the head of department (institute).

Students shall have the right to appeal against any violations of the Regulation concerning exams to the Secondary Educational Committee within fifteen days pursuant to Article 12 (2).

Fees and consequences related to exams

If the student takes an exam – except the bettering exams - in the same curricular unit three or more times he/she is obliged to pay the fee stipulated by Annex 1. of the Code of Charges and Benefits for the third and every further exam, which is 2500 HUF.

You need to transcribe this fee for yourself. To transcribe an item, log in to Neptun, then choose the FinancesPayment menu. You will see a grey button labelled Transcribe item. If you click on it a pop-up window will show up. Please fill it out according to the following:

Payment titles: Retake exam

Terms: the current term, 2022/23/2

Subject: the subject in question

Then select Create item.

You can settle your debts by credit card, in cash at a cashdesk or by bank transfer under FinancesPayment. Payment by credit card has a shorter processing time, so that is recommended.

You can register for an exam when the status of your debt is changed to “Fulfilled”, until then, you will get the following error message:

If the student has registered for but has not appeared for the exam, the number of exam opportunities for the given subject will be automatically reduced (by one) and the entry "did not appear" will be recorded in Neptun. If the student fails to excuse his/her absence by submitting a request to the Faculty's Registrar’s Office, stating the reason for the absence and providing proof of the absence, no later than 8 days after the date of the missed examination, and with an identifiable indication of the examination(s) concerned, they will be liable to pay a fee of HUF 2000 for the absence, which will be charged by the Central Registrar’s Office.

In any case, you must inform the instructor or department administrator of the reason for the absence, as they are the ones who can record the certified absence in Neptun.

The second and every further registration for a course is subject to a fee of HUF 500/credit, which is charged to the student by the Central Registrar’s Office in the semester of the new registration.

If the student has already taken the course at least once during their current training period and has obtained the required signature for admission to the exam, they may take the course as an examination course. If you do not see the examination course advertised in Neptun at the beginning of the course registration period, please contact your department administrator and inform them of your wish to take the examination course.

If you have not previously obtained the required signature for admission to the examination, you may take the course only as a lecture in a subsequent semester. Courses are usually offered either only in the fall or only in the spring semesters. You can inquire about course announcements with your department administrator as well.

Cheating

In case the student is caught cheating during the exam, the exam shall be assessed by a fail grade (1). The student shall have the possibility to appeal against the assessment with a written request addressed to the Secondary Educational Committee within 15 days of notification.

In case of repeated cheating at an examination or in case in the examiner’s judgement the cheating is significant and he/she reports it to the Dean of the Faculty in a register with attached evidences, the Dean may order a disclipnary procedure. In this case the evulation of the examination shall be suspended. If no disclipinary procedure is launched or the disclipinary offence cannot be stated, it must be ensured that the student can retake the exam.

The examiner shall have the right to exclude the student from the examination in case of a wrong conduct (e.g. an attitude violating the exam or if he/she is obviously under influence of psychoactive drugs). The fact of the exlusion shall be recorded on the exam sheet and a register shall be prepared about the case on the spot with two witnesses as far as possible. In these cases the examiner may initiate a discliplinary procedure with the Dean of the Faculty.

Neptun or other technical issues

Neptun temporarily disables your access privilege for 6 hours after 5 failed log-in attempts. The log-in attempts accumulate from Neptun, MS Teams, Moodle, any university WiFi and any other sites that require a log-in with your Neptun code

You can reset your password via the University’s Password Manager, if you have a valid phone number registered in Neptun.

If you get an error message when using a function in Neptun, take a screenshot of it and send it to us via student.humanities@pte.hu with a description of the problem.

Be sure to take a screenshot of the error and send it to the instructor.

Intentionally causing technical incident during the electronic exam (using information and communication devices) shall be considered cheating at examination, therefore the legal consequences stipulated in the relating regulation shall be applied. If the technical incident was not caused intentionally, the examiner and the student taking the exam are obliged to cooperate in order to solve the technical issue.

If the technical error cannot be solved within a reasonable time a new date for the exam must be provided. The exam suspended due to technical error shall not be considered as an attempt to get the grade, it shall not be counted into the exam chances of the student.
